Presenter Guidelines
Oral Presentations
If your abstract is accepted as an oral presentation you will have 15 minutes to present including Q&A. Each presentation session will be 15 mins in total.
AV Tips for Oral Presentations:
- Each room is equipped with a laptop, data projector, and lectern microphone.
- There are ‘clickers’ or ‘pointers’ supplied in each room.
- Please ensure any video or audio files embedded in your presentation are also brought with you as separate files
- Both Mac and PC formats will be fine
- Screens are 16:9 ratio
- Please upload your presentation on arrival at the conference venue, at least 2 sessions prior to your presentation time. Those presenting on Tuesday morning can upload their presentations on Monday at the Rotorua Energy Events Centre, between 3.00pm and 4.00pm or on Tuesday morning, between 7.00am and 8.00am.
Please bring a backup copy of your presentation with you in the event of any unforeseen circumstances.
Poster Presentations
- If your abstract is accepted as a poster, you will be required to print a poster.
- Posters should be A0 portrait layout (1189mm high x 841mm wide).
- The poster display boards are Velcro-compatible and Velcro fixers will be provided to all poster presenters at the conference.
- The poster session will be on Tuesday, as part of the Welcome Function, you will need to be present at your poster during your allocated session, to answer questions and discuss your work.
- Conference attendees will be able to contact each other and ask questions of both poster and oral presenters via the conference app.
CONDITIONS OF PRESENTATION
Late submissions will not be accepted. Abstracts Close Friday 30 August 2024
A condition of acceptance is that one author must present in person at the conference.
The presenting author will be required to register for the Conference to ensure their abstract is included in the final programme.
Deadline for presenting author registration is 11 October 2024. Similarly, no speaker fee is paid to authors or presenters.
It is the responsibility of the submitting author to ensure the accuracy of the content, spelling, grammar and formatting of the abstract, as it will be published as it is submitted.
By submitting an abstract, you also grant the Organising Committee permission to publish the abstract in the conference proceedings in hard copy and/or electronic format.
Maximum number of submissions is 2 per presenter. It is preferred that the presenting author submits their own abstract. The committee reserves the right to limit the number of presentations to 1 per person, if the programme is over-subscribed.
Abstract Submission Instructions
The format for abstract submissions is 300 words.
- Open the presentation portal, add all required information and paste your abstract into the text box.
- All abstracts are to be submitted via the presentation portal by end of day (midnight) 30 August 2024.
The committee intends to notify all submitting authors of acceptance or changes needed by 10 September 2024.

Special Session & Workshop Submissions
Approximately 90-100 minute long session times are available. Prospective organisers of Special Session/Workshops should submit proposals indicating:
TITLE & ABSTRACT
Propose a title and a brief abstract of approximately 100 words that will allow conference attendees to understand the topic and the focus of the special session/workshop (If accepted, this information will appear on the conference website and app).
RATIONALE
Please explain why the topic of the special session/workshop is novel and timely, why it is relevant to the NZFSS community, and how it possibly fits within the conference theme.
PROPOSED SPEAKERS
Please provide the name and contact details (organisation and email address) for the nominated special session/workshop chairperson. For Special Sessions – Provide a list of invited speakers and provisional titles for their talks. Sessions are normally expected to have 5 papers including an overview presentation with future directions for the topic. For Workshops – Provide a list of workshop co-ordinators and proposed structure for the session. For example, panel-led discussion in theatre seating, or tables of 8 people lead through game scenario. Please estimate participant numbers (to assist with venue planning).
The committee also welcome other specials sessions such as book reviews and videography.
Special session/workshop proposals must be submitted to Deniz Ozkundakci via email to [Enable JavaScript to view protected content] by 15 June 2024. Please begin the subject heading of your email with the following text: NZFSS 2024 Special Session/Workshop Submission. Proposals for special sessions will be reviewed by the Conference Organising Committee; the committee may ask for changes and resubmission of proposals, if appropriate.
Results of the review will be sent to chairs of proposed sessions/workshops by 30 June 2024.

Abstract Themes
You will select a theme from the list below, that best suits your abstract, when you upload your abstract onto the presentation portal. This indication will help with allocating a reviewer to your paper, however the theme may be changed if reviewers think your paper would better fit another theme OR if the overall submission of papers requires an adjustment to the initial theme list.
If you do not see a theme that works for your abstract there is the option to select Other.
